​Don’t Lose Your Data: A Plain‑English Guide for Small Businesses

  • Email lists and marketing materials

Five Simple Rules

  • Always keep your own copies. Don’t trust just one company or tool with all your important files. A strong backup strategy uses different backup methods, including cloud backup and local storage.
  • Make sure your contracts clearly state that you own your files and can get them quickly in formats you can use, helping meet data-integrity obligations and protect against unauthorized access.
  • Be ready for shutdowns. Ask your vendors now how you can export your site, product catalog, images, and customer lists, and find out what it will cost. BaaS (backup as a service) providers should clearly explain portability, scalability, and recovery.
  • Understand the full chain. Agencies and apps often rely on other providers. Find out exactly who stores each part of your data, where the premises are located, and whether hybrid solutions are involved.
  • Test restoring your backups, not just making them. If you’ve never tried to restore a backup, you’re taking a risk. Make sure you can quickly recover your important files with zero recovery errors.

A Practical Backup Standard (3‑2‑1)

Follow the 3‑2‑1 rule: keep three copies of your important data, store them on two different storage types, and keep one copy off-site. This modern baseline supports data protection across on-premises systems, cloud platforms, and hybrid solutions.

What that looks like:

  1. Working copy: your live files in whichever system you use daily.
  2. Local backup: set up a regular export and save it to an encrypted external drive or your office NAS.
  3. Off-site backup: use a different cloud provider or store a copy in a secure physical location.

Be sure to include your site files, database exports, documents, media libraries, product or catalog files, and key account details. Use an incremental backup for frequent changes, while retaining full backups for reliable recovery. To ensure these recommendations are implemented effectively, take the following steps within the next 30 days

  • List the files and systems that would cause major problems for your business if you couldn’t access them for a week, including workloads that support daily operations.
  • Export the most important data from your accounting, CRM, email, website, and file storage tools.
  • Record who owns the data, how to export it, how long it takes, and any costs to get it back. Keep a well-documented help process so organizations can recover without confusion.
  • Keep your recovery codes, billing contacts, domain credentials, and admin access in a secure, shared vault.
  • Do a quick recovery test: restore a sample folder, a customer export, and a site or app backup to make sure they open and work properly after accidental deletion, corruption, or a cyberattack.
  • Set a regular backup schedule: do a full backup every month, back up weekly changes, and test restoring at least once every quarter. Review the schedule against best practices and future trends such as NIS2, GDPR, and ransomware-proof storage.

Bottom Line

Just because your data is “stored in the cloud” doesn’t mean it will always be there when you need it. Make sure you treat access to your information as a key business responsibility, not just something that comes with a subscription. Keep at least one immutable copy or other secure copy outside your primary target, and use immutable backups to help make backups ransomware-proof.
